REQUEST FOR PROPOSALS - please circulate
 
The American Community Gardening Association (ACGA) is looking for an individual or team to design, edit and produce our annual publication, the Community Greening Review.
 
ACGA is a not-for profit, membership organization of gardening and open space volunteers and professionals established in 1979.  ACGA promotes the growth of community gardening and greening in urban, suburban and rural North America.  The Community Greening Review is one of ACGA's member benefits.
 
The Community Greening Review (samples available on the ACGA website at www.communitygarden.org) is an 8.5 x 11" publication.  A typical issue is 28 to 34 pages long, printed on recycled, uncoated paper stock.  The inside pages are black and white only.  The cover contains one color logo, type or graphic. 
 
The Community Greening Review is a tool for advocacy, publicity, networking and providing the best technical assistance available for the design, planning, management and permanence of gardening, greening and open space programs that emphasize community.
 
The Community Greening Review provides a forum where professionals, volunteers and supporters working on community gardening, greening and open space issues relate ideas, research, opinions, suggestions and experiences.
 
Consultant Tasks
 
1.  The editor is responsible to:
     a.  meet the publication deadline, report progress and problems to the Editorial Board and manage the Production Team;
     b.  collect submissions (text and graphics) selected and solicited by the editor and the Editorial Board;
     c.  coordinate/prepare submissions so all text is available electronically for production;
     d.  ensure that the Editorial Board has an opportunity to review submissions;
     e.  edit all submissions and work on revisions with the authors;
     f.  write or contract to have written an in-depth lead article or other articles as necessary for the Review by interviewing persons selected and solicited by the Editorial Board;
     g.  provide text to Production Team;
     h.  proof copy;
     i.  submit master electronic file for reproduction;
     j.  ensure Review is mailed on time;
     k.  obtain copyright permission for all articles and graphics used in Review;
     l.  copyright the collective work in ACGA's name.
 
Production Person/Team
 
2.  The production person/team is responsible to:
     a.  prepare Review layout using the design approved by the Editorial Board, computer compatible text and graphic submissions;
     b.  submit proofs to Editor for copy proofing;
     c.  make corrections;
     d.  prepare a production-ready copy in electronic format;
     e.  submit this production-ready copy to the Editor;
     f.  select printer to print the Review and prepare and seal for mailing.
 
3.  Assembly
    a.  A set of mailing labels or an electronic file containing those labels is produced by the ACGA administrative office and provided to the Editor;
    b.  The Editor prepares the Reviews  for mailing.
 
4.  Mailing
    a.  The editor is reimbursed for mailing expenses.
 
Approximate Timeline
 
Initial editorial meeting occurs at the ACGA annual board meeting (in 2003, this was July/August in Chicago) as part of the Communications Committee agenda.
Publication and distribution is scheduled for early in the first quarter of the following year.  
 
How to Respond
 
Proposals may be submitted by an individual or team for all or part of the tasks outlined in the "Consultants Task" section.
 
Please Submit:
 
1.  Qualifications and or past experiences with each task.  Highlight experience with non-profit organizations or with community gardening and open space issues or community development.  As the name Community Gardening Review implies, community and greening are the emphasis.  This criteria is helpful, but not critical.
 
2.  Writing and design samples
 
3.  Estimate of the cost for each task.
