Hello everyone,
 
As some of you already know, our insurance carrier from last year declined  
to renew the policy and I have been scrambling to find coverage.  I am  happy 
to report that this has been accomplished.  The policy will continue  to insure 
the AIS, its Regions, Sections, Affiliates and all members thereof,  whether 
or not they are AIS members.  The type of coverage remains the  same as 
explained in the July AIS Bulletin.  I know that several clubs  have upcoming events 
so I am requesting  that the RVP's be sure to notify their club  presidents.  
I have email addresses for several presidents but I know, too,  that there 
are a number of persons I am unable to reach by email.   This is extremely 
important and needs to be addressed  immediately.  Below are the policy numbers and 
the instructions  for obtaining any needed certificates of insurance.  Like 
last year, the  carrier is not charging for these certificates.  With the  new 
carrier, the broker will be issuing the certificates and they need the  
requests in writing.
 
In order to obtain certificates of insurance please follow the below  
instructions.
 
FAX the request to Carolyn at Scanlon, Guerra, et  al.  She is unable to 
accept requests over the phone. Her fax number is  818/316-0990.  
 
In the fax identify yourself as the American Iris Society and provide her  
with the policy number which is 00005948.  If the venue that is holding the  
event only requires up to $2,000,000 in coverage that is the only policy  number 
that needs to be provided.  If the venue requires up to $5,000,000  Carolyn 
will also need the Umbrella policy number of 00006046.  This  is very important 
since there are now two policies involved.  
 
The fax will need to provide Carolyn with the name and address of the venue  
where the event is being held and where the certificate is to be  sent.  If 
the certificate needs to be done immediately Carolyn needs to be  advised.  If 
the certificate is to be faxed to the venue, the person's  name and fax number 
need to be provided.
 
Once again, this is extremely important and must be passed along to the  
various club presidents.  
 
Below is a copy of the fax that I sent to Carolyn for my local club's  event 
as an example.  
 
 
Carolyn, 
URGENT CERTIFICATE REQUEST 
On behalf of the American Iris Society I am requesting a  certificate of 
Insurance be issued as follows.  The certificate will need to show both  the 
primary policy number of 00005948 and its limits, as well as the umbrella  policy 
of 00006046 and its limits as the venue requires proof of $5,000,000 in  
coverage. 
The dates of the event are September 10 and  11. 
The certificate holder is: 
Westfield Topanga Owner  LP 
6600 Topanga Canyon  Blvd. 
Canoga Park, CA  91303 
Additonal Insured on the certificate needs to  show: 
Westfiled America, Inc., Westfield Topanga Owner L.P.,  Westfield 
Coproration, Inc. and any and all of their respective parents,  partners, subsidiaries 
and afililiates together with any mortgagee from time to  time of the Landlord's 
interests are named as an additonal insured, as their  interests may appear.  
 
The certificate needs to be faxed to Brianna Castillo by  this Friday. Her 
fax number is 818/999-0878.
