ANNUAL GREENTHUMB GROWTOGETHER CONFERENCE PLANNING

The consultant contract will be awarded to the person who has the lowest
cost for the project.
Scope of Proposal
The proposal must include a price quote for the services described within
this RFP, a resume and cover letter. References also need to be included.
The price quote needs to reflect the hourly rate times the estimated
amount of time to complete the project. Based on the previous year the
estimated amount of time for this contract will be 200 hours.
GreenThumb Overview
The largest community gardening program in the country, GreenThumb is proud
to
support community gardens in New York City. We have over 650 member gardens
serving 20,000 city residents. Since 1978 we've been committed to providing
support to help strengthen gardens, strengthen gardener skills, and
strengthen communities. GreenThumb's services take the form of materials,
grants, and technical assistance, including educational workshops.
Purpose of the conference
The GreenThumb GrowTogether officially kicks off the community gardening
season in New York City. The GrowTogether is typically well-attend by over
800 gardeners from throughout the city and offers approximately 50
workshops on gardening-related topics. These workshops range from kids
activities to how to grow more vegetables and get more members.
The conference will be held March 16, 2002
Target Audience
The majority of the attendees at the conference are community gardeners
from gardens throughout the city. They represent a wide range of ages and
ethnic backgrounds. The gardeners are of varying skill levels both in
gardening and organizational management.
Scope of Services
The consultant will work directly with the Director of Operations of
GreenThumb to plan and implement all aspects of the GreenThumb GrowTogether
conference. This includes the following:
Work with the GreenThumb staff to determine the theme for the conference.
Promote the theme through the t-shirt design contest. The consultant will
work with GreenThumb staff to send out the announcement of the t-shirt
design contest. The consultant will be responsible for coordinating the
entries, choosing the winner, and ordering the t-shirts.
Assist with bidding out the cost for the rental of the space, the cost of
security, and the cost of the food.
Identify and secure a keynote speaker for the conference.
Work with GreenThumb staff to identify workshop topics and workshop leaders
for the conference.
Act as the main liaison between the conference location and GreenThumb.
Secure all material needed for the conference.
Identify special item to give to conference participants.
Coordinate all aspects of conference pre registration.
Coordinate logistics for the day of the conference.
Timeline
The work will commence no later than November 30, 2001 and will be
completed on March 16, 2002. The consultant is expected to complete all
work by March 16, 2002. It is also expected that the consultant will be at
the conference on March 16, 2002 to lead the logistics for the day. The
following is a timeline for planning and implementation:
December 2001
Identify and secure a location for the conference
Meet with representatives from the conference location to work out
catering, auditorium, security and workshop space.
December 2001 - February 2002:
Send out flyer and pre registration material to all community gardeners.
Identify and confirm workshop topics and workshop leaders.
Identify organizations that will have a table at the conference.
Secure all material needed for the conference.
March 16, 2002
Coordinate all logistics for the day of the conference.
Qualifications
The consultant will have at least 2 years experience in event planning. At
least 3 references need to be provided.
Location of work
The consultant will have full use of the GreenThumb office in order to plan
and implement the conference. It is also acceptable for the consultant to
work from home or another office.
Payment terms
The consultant will be paid on a monthly basis for work that was completed.
The consultant will provide an invoice on a monthly basis outlining the
work that was performed and the hours worked.
