Re: Travel Expenses


Gene -- I think you have several options.

* Charge a mileage rate, such as the federal allowance (37.5 cents per mile is the 2004 rate for business travel). That makes bookkeeping and tax forms easier at the end of the year. Certainly the difference between actual costs and what a client reimburses would be deductible, too.
* Not charge for mileage and using those expenses as deductions on your taxes.
* Establish what the miles are as part of the agreement, using MapQuest or some other source, and set a fee for the travel. For instance, I charge one-half of my hourly rate for the time I have to travel for a client. I invoice this as a travel expense. Of course, it would be good to make sure the client understands this fee structure. This may be easier with "clients" than with garden clubs or venue-type speaking engagements.
* Consider waving certain travel expenses for a higher speaking fee as an option for a client.

I am curious....
    What are the rest of you doing about travel expenses with the price of
gas hovering around $2 a gallon? I am set up to more or less stay in my own
back yard, traveling about 8 to 10 hours drive time one way. I have my set
fee, plus travel and host sees that a motel is set up in advance. When only
a few hours out I have been know to let the expenses slide in the past. I
have been placing a halt to that one. A tank of gas out and one back is now
getting close to $100.
    Just exactly what do you charge the client when listing *expenses*? What
are your expectations and requirements when out on the road doing slide
presentations and lectures?
