Re: OT: Costs for Spring Regional Mtg

Hi Chuck,

The registration fee in our region for spring meetings usually includes the costs of the busses, meals, meeting rooms, and materials received at registration (name tag, convention booklet, etc). Other costs would probably depend upon your regional by-laws, traditions, etc. In region 21, speaker costs or Judge's Training instructor costs (meeting registration, lodging, travel, etc) are paid out of the region's treasury, and are not included as part of the registration fee. Also,in our region, any favors or gifts are not included in the registration fee, and are paid for by the hosting club. But, I would suggest you check with your RVP or regional treasurer as to what is generally included in the registration fee in your region, what is paid for by the region, and what expenses the hosting club is expected to pick up. This has been a perennial question in our region also, and we are in the process of writing/completing meeting quidelines to help hosting clubs in our region deal with this question and many more.

We are hosting the 2005 spring meeting for Region 6 and are in a discussion
about the fee for the meeting and whether the fee should cover the entire
cost of the event, assuming normal attendance. A three garden bus tour and
banquet are included in the event.
Would those with knowledge/experience in this matter for your region please
respond off-line.
